At voicebusiness we are committed to protecting your privacy and looking after your personal data. This privacy notice explains how we collect any personal data from you, how we use this data and how we securely store it.


Who we are


voicebusiness is a communication skills training organisation, specialising in helping people feel more confident speaking in public, when pitching, in face to face interactions and in understanding and developing their communication skills generally. We are based in Glasgow, Scotland and are registered in accordance with current data protection legislation: registration number Z9410075

We contact you in order to send you very occasional information about courses or training options we think might interest you. We want to get information to the right person, because we truly believe that there is no ‘one size fits all’ solution to learning and developing communication skills, and the more we can reach the people we think might specifically benefit from our type of training the more use we can be.

We do not bombard you with information. For example, you might expect to receive three or at most four general emails a year, with the possibility of another for a specific special offer.

GDPR: Changes in Data Protection Law from 25th May 2018 require us to inform you that voicebusiness is the data controller responsible for collection, storage and use of your personal data.


How do we collect personal data from you?


We receive information from you when you use our website, complete forms on our website, contact us by email, phone, text, or through social media channels such as Twitter and Facebook. We may also collect data from publically available sources such as Companies House.


Our two sites are our website at www.voicebusinesstraining.co.uk and our blog at http://talkaboutspeaking.co.uk

We process this data in order to communicate with you, for keeping accurate records and for the establishment, pursuance or defence of legal claims.


What type of data do we collect from you?


The data we may collect includes your name, address, email address, phone numbers, payment information and IP addresses. We keep records of your queries and enquiries about our services when you contact us. Our lawful grounds for doing so is to enable us to efficiently and correctly maintain and operate our website and our training business.

We do not collect any sensitive data about you, such as details of ethnicity, religious beliefs, sexuality, political views or trade union affiliations, or other such detail, nor details of criminal convictions. We may collect information about your health, when voluntarily offered, if having such knowledge may assist us in your training.

Cookies: ‘Cookies’ are files that store information about you, on your hard drive, when you visit our website, making the website easier for you to use. No personal identification material is stored in any voicebusiness cookie.

What do we do with your data?


We use information about you in the following ways:

 

  • To provide you with information about the training and coaching services we provide

  • To process and enter into contractual arrangements with you

  • To help identify any financial dealings we may have with you

  • To help us design effective marketing campaigns in accordance with us running our business efficiently

  • To inform you about changes in our business practice, including price changes

Should we email you with information about training possibilities and public courses, you will, on the same email, receive useful communication tips.


If you have given us details about areas which are of special interest to you then you may well receive information about these if we have some specific training lined up.

Our general e-mailings are sent by Mailchimp, which complies with GDPR. You can read more about what Mailchimp does to complety with GDPR here.

We may contact you by post, especially if you have booked training for yourself or for colleagues in the past, or you are someone who might do so in the future.

Of course if we do not receive permission from you to send you information you may miss finding out about new training or coaching opportunities or fail to see details of our useful and effective public courses!


How we store your personal data and keep it secure


We have established measures to ensure the security of your data and prevent its loss, use, alteration, disclosure or unauthorised access.

Your data is held on voicebusiness systems or systems managed by suppliers on behalf of voicebusiness. Our database/customer relationship manager or CRM, in which your data is held, is a secure, cloud-based system operated by MaximizerCRM UK. Maximizer has been on the market for more than 25 years, is used by both small businesses as well as large corporations and is GDPR compliant.

Access to your information is strictly limited. The database, and parts thereof, can only be accessed by those who need it to do their job.

​

Other information is stored on two main computers and a limited amount in paper form, kept securely in premises with triple locks and an alarm system. Any information which is taken off-site by trainers will be returned to voicebusiness or destroyed once the specific job has been completed.

​

Information such as P&l & BS, bank reconciliation and vat reports are taken off-site by our bookkeeper and are kept in a locked filing cabinet in a secure location and are returned to voicebusiness at the end of each accounting year.


In addition, for tax purposes the law requires us to keep some basic information for six years after any contract.

We may have to share your data with service providers who provide systems or IT support; with professional advisors such as bankers, lawyers and accountants; our freelance trainers. We require and expect these parties to respect the security of your data and to act in accordance with the law.

We do not share your data with any third parties unconnected to the delivery of our training. We do not sell your personal details to any third party.

​

In the unlikely event that any personal data breach were to occur, voicebusiness would strictly adhere to the ICO guidelines and inform them of the relevant breach within 24 hours.

Should you click on links on our sites to third party websites, plug-ins or applications, you may be allowing those parties to share data. We have no control over these third party websites and are not responsible for their privacy statements or conduct. We encourage you to read the privacy statements of other websites as well as this one.


Retention periods


We will only retain your personal data for as long as is necessary to fulfil the purposes we collected it for or for a reasonably compatible reason. As stated above we are obliged to retain financial information for tax purposes.

We have opt-in instructions on our website.


We will give you the opportunity to opt-out at any time.


There is a choice as to what you may wish to opt-in to. You can opt-out of marketing communications at any time and still retain special offer information if you have opted in to this on our website form, or have informed us verbally, or in hard copy or by electronic communication.


Your rights


You have the right to request to see the personal information we store about you. You can request us to correct any errors or to stop processing your data. You can withdraw your consent at any time and you can complain about us to the Information Commissioner’s Office.

Should you wish to know more about what information we hold about you including making changes to, or requesting the deletion of, information that we hold about you, you are also entitled by law to make a Data Subject Request. You can make such a request by emailing us at info@voicebusinesstraining.co.uk (quoting “Data Subject Request”). Please note that we may need to exclude certain information as part of your request, e.g. in order to protect the privacy of other individuals or if we are permitted to exclude the information for legal or other reasons. You do not have to pay a fee to access your personal data. However we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive or refuse to comply in these circumstances.
